Facility Management Lead

The Facility Management Team is responsible for overseeing and optimizing the organization’s facility portfolio, ensuring efficient operations, cost effectiveness, and a high-quality working environment. This role serves as a key point of contact for facility-related matters, including negotiations, contract management, landlord relations, and the strategic development of workplace solutions.

Role and Responsibilities:

Facility Contract Management: Manage assigned facility-related contracts, including existing agreements and potential new engagements. Ensure contracts are aligned with organizational needs and deliver value in terms of service, cost, and quality. Monitor and steer contract durations proactively. Will be asked to lead negotiations, terminations, and subleasing opportunities, as well as any required contractual modifications.

Landlord and External Interface: Be an interface with landlords and external stakeholders. Maintain a comprehensive overview of assigned lease agreements and ensure strong, professional relationships are upheld.

Facility Utilization and Optimization: Support the team to continuously monitor and evaluate facility usage. Identify trends and opportunities to enhance the working environment while improving space efficiency and reducing operational costs.

Strategic Improvement Initiatives: Lead initiatives aimed at improving workplace functionality, employee experience, and cost performance within the facility domain.

Project Leadership: Lead facility-related changes and development projects, ensuring timely delivery, stakeholder alignment, and successful implementation. Be actively involved in office updates and relocations.

Commercial & Asset Management: Support the disposal and management of facility assets (such as furniture and equipment. Maintaining existing assets are in good order and fit for purpose.

Governance, Safety & Compliance: Be part of the safety walks for assigned common office areas to ensure compliance and promote a safe working environment.

Insurance Portfolio Management: Support Head of Facility Management Team and the Company insurance broker to coordinate the GTEU insurance portfolio, ensuring coverage and compliance requirements are met.

Qualifications and skills required for the role

  • 8-12+ years of experience in Facility Management, Engineering, Business Administration or related field
  • Knowledge of working in R&D and Design environments
  • Experience in budget management and cost management
  • Experience in negotiations and contract management
